Job Title: Director of Finance
Type: Full-time, on-site 2x a week

We are seeking an experienced and hands-on Director of Finance to manage our accounting and finance operations. This role is integral to ensuring the financial health of the company, working closely with the CEO and ownership, managing relationships with banks and contractors, and overseeing the internal finance team.
Job Summary:
The Director of Finance will oversee all accounting and finance functions, ensuring compliance with GAAP standards and maintaining financial accuracy. This role requires strong leadership skills to manage the accounting team, expertise in QuickBooks, and experience with AIA billing and ERP system migration. The Director of Finance will play a key role in optimizing our financial processes, advising ownership on financial strategy, managing cash flow, and leading various administrative, HR, and technical aspects critical to the business.
Additionally, this candidate will have a seat at the table and offer contributions, strategizing with marketing, supply chain, current economic dynamic, etc. Key Responsibilities: Financial Management & Oversight: - Ensure GAAP Compliance: Oversee all accounting activities to ensure compliance with GAAP standards, working closely with the company’s CPA to maintain accuracy and transparency in financial records.
- Optimize Financial Statements: Resolve legacy accounting issues and develop clear procedures to ensure compliance and streamline the chart of accounts, making the financial processes more efficient and understandable.
- QuickBooks Management: Use QuickBooks to handle daily accounting functions, while also creating supplementary spreadsheets for use tax, detailed job cost reporting, and other financial needs beyond QuickBooks' capabilities.
- ERP System Migration: Oversee the migration from QuickBooks to a new ERP system, ensuring a smooth transition and enhancing the capabilities for financial reporting and data analysis.
- Accounts Payable and Receivable: Oversee and manage AP and AR processes to ensure accurate cash flow management.
- Cash Flow and Treasury Management: Maintain and manage cash flow, ensuring efficient treasury management, including making international payments and overseeing banking relationships.
- Ad-Hoc Reporting: Generate ad-hoc financial reports to support sales and management, leveraging Excel and Google Sheets for in-depth analysis.
Team Management:
- Lead the Accounting Team: Manage the accounting team, which includes an AP and AR person, fostering a collaborative and efficient work environment.
- Streamline Team Processes: Establish efficient financial processes to reduce the time needed for accounting tasks and free up team capacity for more strategic activities.
- Hands-On Approach: Provide hands-on support to the accounting team while also being a strategic leader who guides the team towards best practices.
Strategic Advisory & Reporting:
- Advise Ownership and CEO: Provide regular financial updates and insights to the CEO, advising on problem areas and overall financial health, and contributing to strategic decision-making.
- Budget and Commission Rules: Collaborate with ownership to create simple, effective rules for commissions and budget determination, focusing on setting strategic and operational financial targets.
- Strategic Financial Planning: Participate in strategic planning by understanding the company’s operational needs and outlining an effective financial roadmap, ensuring proactive financial management.
Banking, Treasury & Payment Management:
- Bank Relationship Management: Negotiate and manage relationships with banks, ensuring effective communication and favorable terms for the company.
- Treasury and International Payments: Manage treasury operations, including international payments, and liaise with banks to maintain optimal cash flow.
- Surety & Bond Relationships: Oversee interactions with surety for bonds, understanding the mechanisms of reporting to escrow agents.
Project Interface & Financial Collaboration:
- Work with Project Managers: Interface with project managers to ensure proper job performance, accurate billing, and effective payments.
- Monitor Payment Compliance: Track and escalate payment issues as necessary, ensuring general contractors (GCs) and project managers are aligned on financial aspects.
- Collaborate with General Contractors: Work directly with GCs, ensuring effective communication and clear expectations regarding billing, payments, and financial requirements.
Administrative & Cross-Functional Support:
- Insurance & Contracts: Have a basic understanding of commercial insurance requirements, assisting in managing contracts and costs with brokers.
- Customs and Supply Chain: Gain a foundational understanding of customs requirements to assist with logistics and supply chain matters as needed.
- Reporting and Analysis Tools Maintenance:
- Maintain Key Financial Tools: Oversee and maintain various financial tools that are crucial to the company, such as margin files, commissions, use/sales tax tracking, and supply chain orders.
- Advanced Spreadsheet Management: Use advanced Excel and Google Sheets skills to create and maintain detailed financial reports and tools necessary for efficient financial management.
- Improve Financial Tools: Continuously improve and update financial tools to maintain operational efficiency, providing high-value analysis and process improvement.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of 5-7 years of experience in accounting, including GAAP compliance.
- Strong proficiency with QuickBooks, including migration to a new ERP system.
- Experience managing AIA billing, AP and AR, cash flow, and treasury.
- Advanced Excel and Google Sheets skills, capable of creating financial models and tools to enhance reporting capabilities.
- Proven hands-on approach, capable of digging into detailed financial tasks while keeping a strategic focus.
- Strong leadership skills with experience managing a team in a multicultural environment.
- Experience in working with general contractors, escalating payment issues, and maintaining effective financial communication.
- Ability to negotiate and manage relationships with banks and financial institutions.
- Basic knowledge of taxation in key states and an understanding of insurance and surety bonds.
- Strong communication skills, able to interface effectively with project managers, general contractors, and ownership.
- Highly organized, team-oriented, affable, and used to a fast-paced, dynamic work environment.
