Position Description
Advertised Job Summary The Graduate Academic Advisor will provide advisement for assigned graduate students in the College of Education. Assist students with navigating university processes. Monitor and maintain student records of milestones met in progression to degree. Check student records for eligibility for progression in assigned programs. Coordinate and facilitate recommendations for admission for all applicant files to graduate programs. Maintain communication with program coordinator and/or faculty regarding admissions and academic information related to advising.
Job Related Minimum Required Education And Experience Requires a bachelor’s degree and 2 or more years of experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications Required Certification, Licensure/Other Credentials Preferred Qualifications
Masters degree in Student Services or related field, or bachelor’s degree and 2 years experience. Teaching experience and/or USC advising experience preferred.
Knowledge/Skills/Abilities Ability to understand and clearly communicate to others the assigned program requirements. Ability to successfully communicate information in one-on-one situations, group settings, and through electronic communications. Ability to work with various office and University information systems.
Job Duties Job Duty
Work with the COE Graduate Directors, Gamecock EdQuarters staff, and faculty program coordinators to oversee accuracy in candidate admission and progression in assigned graduate programs in accordance with policies and procedures of the Graduate School and the College of Education. Ensure that appropriate faculty, the COE Graduate Directors, and Gamecock EdQuarters staff have reviewed and approved actions before completing any admission or progression process.
Essential Function Yes Percentage of Time 30 Job Duty
During advisement periods, communicate with assigned students and provide advisement on course work and all progression requirements. Throughout the year, provide advisement and assistance to assigned advisees when needed, ensuring that progression requirements are being met. Monitor required paperwork (programs of study, comprehensive exam verification form, dissertation signature and approval form, qualifying exam verification form, concurrent enrollment form, transfer credit request form, etc.) and ensure that it is filed at the appropriate time to meet College and Graduate School requirements. Assist assigned advisees with registration, financial aid, fees, and other university processes when appropriate.

Monitor assigned advisees from admission through their progression in the assigned programs. Complete formal progression and graduation checks at appropriate times of the year and work with the Graduate School to coordinate maintenance of records. Notify students and program faculty of eligibility. Work closely with program coordinators and other designated program faculty in assigned programs to ensure accurate communication of information to students and to facilitate the review of course substitution/transfer requests, program academic petitions, and other similar student requests.

Ensure that student correspondence and paperwork are housed in the student’s electronic file to reflect an accurate record of the student’s progress. Work with Gamecock EdQuarters student services support staff to ensure that the electronic database is maintained properly for the programs assigned and maintain entry of records as needed. Contribute to overall unit goals by completing additional duties as assigned or required.
