Job Description

Hedgefield Homes is looking for outstanding individuals to become candidates for our Starts Coordinator position. This person will work under the general direction of the Operations Manager, oversees and coordinates the Pre-Construction phase of all new build jobs. This includes collaborating with various departments and managing the necessary documentation and permits. Our mission is to deliver peace of mind to families through custom home building, and the person in this role will have a direct impact on this mission.

The ideal candidate is highly organized, highly detailed, is a clear communicator and has a strong aptitude for "getting things done." This role involves effective communication, project planning, and attention to detail to ensure a smooth transition from pre-construction to construction.

Responsibilities

Working under the direction of the Operations Manager, this person will be responsible for the following:

  • The Starts Coordinator is responsible for moving customers through the pre-construction pipeline on time and acts as the primary liaison between the customer and HH during pre-construction.
  • Responsible for meeting with customers, collecting requested edits to plans and specifications, and documenting accurately.
  • Collaborates with differing departments to understand project requirements and timelines.
  • Responsible for reviewing all Job Start documentation and ensuring it has been built in such a way as to reduce errors and wasted time in the field.
  • Responsible for reviewing and approving Job Start Package correctness in BuilderTrend for Builder handoff.
  • Responsible for the preparation of permit packages, HOA applications and other job approvals.
  • Stays updated on local building codes and regulations to ensure projects comply with all relevant standards.
  • Responsible for requesting quotes, coordinating site work, surveying, soils testing, and other early pre-construction activities are completed.
  • Identifies potential risks and obstacles that may impact construction starts and works proactively to address and mitigate these issues.
  • Creates Change Orders and submits for signature and processing according to HH CO Procedures.
  • Hosts meetings with Customer and takes complete notes, including Design Authorization Meeting, Site Budget Review Meeting, and Pre-Construction Meeting.
  • Works with NHS to manage the slot schedule and customer experience.
  • Works with team members in the preparation of recurring job or customer paperwork, such as bank packages, plans and drawings, construction documents and change orders.
  • Coordinates Customer Turnover Events & House-Warming Parties.
  • Responsible for Pre-construction meeting follow-up.
  • On-boards new vendors.
  • Supports processing of bank draw requests for projects on time.
  • Tracks and possesses working knowledge of all customer loan types and processes.
  • Special projects as assigned.
